Medical Hair Rejuvenation Clinic is looking for a highly organized and customer-focused Salon Secretary to handle essential administrative, customer service, and support tasks. This role requires a proactive and personable professional who can manage client appointments, assist with daily operations, and contribute to creating a welcoming and smooth-running salon experience.
Responsibilities:
- Appointment Scheduling: Coordinate and manage the clinic’s appointment book, scheduling clients for services, and sending appointment reminders via phone, email, or text.
- Customer Service: Welcome clients as they arrive, respond to phone and email inquiries, provide details on services, pricing, and products, and ensure clients feel valued and informed.
- Administrative Tasks: Maintain accurate client records, process payments, and manage transactions efficiently, handling cash and credit operations.
- Inventory Management: Monitor product stock levels, order supplies as needed, and ensure the clinic maintains adequate inventory for daily operations.
- Staff Communication: Act as the liaison between clients and stylists, coordinate schedules, discuss client preferences, and relay important messages.
- Marketing and Promotions: Support marketing initiatives by managing social media accounts, promoting special offers, and assisting with the distribution of promotional materials.
- Reception and Cleanliness: Maintain cleanliness and organization in the reception area and other common spaces to ensure a welcoming environment for clients.
- Client Concerns: Address client complaints professionally, resolve minor issues, and escalate any significant concerns to the management team.
- Billing and Invoicing: Prepare and manage invoices, process client payments, and handle any billing questions or issues promptly.
- Record Keeping: Maintain schedules, payroll information, and other necessary documentation to support administrative tasks and employee records.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written, with a customer-focused approach.
- Familiarity with scheduling systems and basic administrative tools.
- Ability to multitask and handle a variety of tasks in a fast-paced environment.
- Basic knowledge of social media for promotional efforts.
- Professional demeanor and positive attitude, with the ability to handle client concerns tactfully.
